Permit and Inspection Management System

Overview

The Permit and Inspection Management System (PIMS/cs), is a Windows based, client/server application that not only facilitates the issuance of permits and the scheduling and tracking of inspections, but also has complete modules for contractors, business licensing and code enforcement (complaint tracking).

Permits and Inspections
You can issue a variety of permit types: building, plumbing, mechanical, sewer & water, sign, fire, electrical, temporary use, point of sale (housing), public works and a user defined type.  In addition, you define subtypes and work types to further classify permits.  Required inspections can be assigned to permits.  Fees are grouped and easily assigned to a permit, and the fee amount is automatically calculated.

Inspection results are “attached” to permits.  Each result includes not only who, what, when and where but you can also add free form and standard comments.  You can final a permit at any time or final it automatically when all of the inspections have passed.  Inspection orders and a certificate of occupancy can be recorded and printed.

  • The site lot, block, addition, PID and owner information can be automatically retrieved based on permit address.

  • Contractor information can be retrieved for a permit from a contractor file based on phone number.

  • A flexible search tool can find permits by address, permit type, issue date, and many other criteria.

  • Permits can be displayed on a map using ArcInfo/ArcView Shape files.

  • A “prohibit” or “warning” can be assigned to an address, contractor or project.

  • Inspections can be pre-assigned by permit subtype or work type.  A simple mouse click can add or subtract required inspections

  • A standard Windows interface means less training time and greater ease of use.

  • Menu choices may be selected by mouse click or keyboard.

  • Drop-down lists on fields with data tables allow you to select an item for entry into user defined fields.

  • Security controls access to each functional area: read only, write or not available.

  • Numerous standard reports are provided which satisfy local, state and federal reporting requirements.

  • Crystal Report Writer can be used to build additional ad-hoc reports.

Inspection Scheduling

A sophisticated scheduling module allows you to schedule, copy, move and edit inspections, meetings, holidays, vacations and other events for each staff person from an individual or multiple inspector screen.  Also, automated scheduling can be done with an appointment availability search.  A daily schedule can be printed, which includes a significant amount of information in an easy to read format.

  • Inspection results can be viewed by permit or address.

  • Inspections and appointments can be scheduled for any time duration.

  • An inspection can be tagged as having a time that is any, exact, a.m. or p.m.

  • Vacations, holidays, meetings and other events are scheduled by the day.

  • Inspections can be copied and moved.

  • The printed daily schedule can include inspection specific notes or daily notes.

Business Licensing
You can produce business licenses for any license type that you define.  Pertinent information about an applicant and their various licenses can be recorded.  Fees and payments can be entered.  A mass license renewal process is available.

  • Accommodates any business license including liquor, food, and housing.

  • The renewal process includes a renewal notice detailing licenses and fees.

  • A license can be pending, active, suspended, denied, revoked or inactive.

  • Mailings can be sent to applicant, alternate address or license location.

Code Enforcement
You can record and track code violations or complaints and the resulting actions taken.  A location or request site can have multiple violations and violations can have multiple actions.  Violations can be referred to a department or person for action.  Form letters can be sent.

  • Record and track code violations or complaints.  Violations can be closed individually or a request site can be finaled.

  • Record and track actions taken.

  • Identity of caller can be protected.

  • Violations can be referred to a department or individual.

  • Form letters can be sent.

Mapping

Permits can be mapped utilizing ArcInfo/ArcView Shape files.  A city map is displayed which allows you to click on a parcel and list permits at this site.  Basic parcel information and boundaries are displayed.  The map can also include house numbers, street names, lakes and parks.
