Police Records Management System
Overview
The Records Management System (RMS) is part of LOGIS’s
comprehensive data processing solution for police agencies. (LOGIS also
offers an integrated Computer-aided Dispatch or “CAD” package that
works with RMS.) RMS provides centralized, instantly accessible
information storage. It makes accurate records available to all law
enforcement personnel, simplifies reporting requirements, and permits
sophisticated analysis of incident activity.
Instant
Access to Comprehensive Data
RMS centralizes all essential information,
including names, addresses, vehicles, cases, property, field
interviews, citations, arrests, bike registrations, and pawn
transactions. It maintains complete data on all persons entered—their
names; physical descriptions; home and work addresses and phone
numbers; and various ID numbers such as Social Security, driver’s
license, and others. RMS keeps histories of past addresses and phone
numbers as an aid in crime investigation. RMS also records every person
and vehicle associated with an incident report. Several codes are
user-defined and are code table verified at entry time for data
consistency. RMS also allows State and Federal Queries.

Extensive Data Inquiry and Reporting
Fast, easy-to-use inquiry programs are available for
everything from names and case numbers to stolen/found property and
vehicle license plates. Standard reports are also available for all
modules in the system. In addition, a flexible report generation
program is available to all LOGIS members for customized reporting.
Below is just a sample of the many
features and benefits available from the Records Management System.
-
Records all essential information for each case in
a centralized format.
-
RMS is based on the Master File concept, so that a
single entry automatically updates all the associated files.
-
Uses the Soundex (sound-alike) method for searching
names, insuring that proper records are always located.
-
Complies with Minnesota CJRS Report requirements by
logging all property that was stolen or recovered, and the value of
each category.
-
RMS is menu-driven, with the ability for the agency
to define field-level help screens so that assistance is only a
key-press away.
-
RMS is an on-line, interactive program. Changes or
updates to the database take place immediately.
-
Allows for tailoring to specific needs by using
extensive security, designed in levels.
-
Receives basic incident information from the
Computer Aided Dispatch (CAD) application.
Benefits
-
Allows law enforcement agencies to
do more police work and less paperwork.
-
Insures that even casually-trained operators can
retrieve information quickly.
-
Extensive code table checking allows data entry
clerks to spot errors quickly and correct them immediately.
-
Each agency can define internal tables to customize
RMS for local codes and policies.
Additional RMS Tools
-
A criminal investigation management tool features
automated management of on-going investigations, from the original
report to the final judicial disposition.
-
Integrated Case Narrative provides on-line storage
of case text narratives, allowing on-line entry, report review, and
storage of case text.
-
The RMS Program interfaces with the Computer Aided
Dispatch (CAD) application, so that basic incident information is
automatically transferred to RMS for permanent storage and
analysis.
-
A Crime Analyst module allows searches for the RMS
files using complex, multiple criteria.
