The HR/Payroll User Group met August 26th with approximately 30 attendees. There were two major announcements at this meeting, both concerning ESS (Employee Self Service) Work Plan items.
1) ESS is now available from outside of the network, meaning employees can now access it from home, for example.
2) Payroll Deposit Advices can now be attached to Pay History records, meaning they can be viewed using the View/Print Pay History button in ESS replacing the need to print and distribute paper copies to all employees. THINK GREEN !!!
The State of Minnesota, since 1936, has participated in the FBI’s Uniform Crime Reporting (UCR) Program. In 1972, Minnesota began collecting crime related data as part of a computerized statewide Criminal Justice Reporting System (CJRS) program. The Bureau of Criminal Apprehension (BCA) was given the responsibility to collect activity information from the law enforcement agencies throughout the State. This data was initially entered manually into a State program application called “Portals”. Through technology, LOGIS was one of the first to interface to the State and send the data automatically. One of the great benefits of our Printrak Law Records Management System (LRMS) is its ability to seamlessly interface with the State’s CJRS/UCR systems for these required monthly submissions. The Support staff at LOGIS initiates the monthly upload of crime data to the State, saving each member agency countless hours of manual entry into Portals. This also prevents duplication of entry and discrepancies, since what is entered into LRMS is what gets reported to the State. The month-end submission process gathers new cases and also updates the cases of prior months. The LOGIS staff also monitors the submissions to prevent errors and to meet deadlines. Month-end statistical reports are then available online at the BCA site after the 10th of the month. These reports are a tabulation of the number and type of offenses committed, cases cleared or solved, and the persons arrested.
In August, we upgraded and made available to our members the CiscoWorks platform version 3.2. We have utilized CiscoWorks over the past decade to manage our members’ networks by receiving proactive SNMP network notifications, automatically backing up device configurations, managing configuration versions, recording configuration / status changes, and performing bulk administration changes to the network devices. This new version enhances these features by adding SNMP version 3, enhanced network reporting capabilities, and support for the new Cisco switch, router, and wireless platforms.
LOGIS IP Telephony Service Enhancements!
The IP Telephony Service has been enhanced again by our latest upgrades to Cisco IPCC Call Center and Infortel Call Accounting software. These upgrades provide enhanced capabilities and set the basis for the Call Manager 7 upgrade scheduled at the end of August. These upgrades in August set the stage for the next generation of the IP Telephony Service that will benefit our membership.
The PIMS team and the ePermits cities met last week to discuss the re-design of the ePermits website. The ePermits website made its debut in April, 2003 and since then over 55,000 permits have been acquired through the website by homeowners and contractors. It has been a huge success, saving customers (and staff) time and money.
Over the years, we have maintained an enhancement list of suggestions provided to us by the members, to make the site even better. To keep current with the ever changing technology, we are planning to re-engineer the existing application. With the help of our members, we will work together to discuss, plan, and implement innovative ideas for the new and improved ePermits site.
In conjunction with the new design, we are in the process of updating each member’s website to be PCI/DSS compliant. In the upcoming weeks, we will work with PayPal and each ePermit city to remove the existing Payflow Pro software and replace it with the new Payflow Link product.
Mailers +4, a product of Melissa Data Corporation, is an Address Correction Software designed to reduce postage costs of bulk Utility Bill mailings. Within Mailers +4 a Coding Accuracy Support System certification report can be generated. CASS Certification is the process that ensures accurate carrier route, 9-digit ZIP +4 codes and delivery point barcodes are placed on mail pieces. A CASS report must accompany cycle bill and notice mailings to the USPS in order to qualify for postage automation discounts.
Bi-annually, LOGIS downloads all CIS Infinity version 2 addresses into the Mailers +4 software. The addresses are formatted and validated against the USPS table. Along with the CASS Certification report, an Address Error Report is generated. This document will list all addresses in your database that did not match the USPS database. These addresses must be manually corrected in your database for future compliance. Enhancements have been made in CIS Infinity version 3 to allow Utility Billing Cities to resolve addresses within the Mailers +4 software and upload the corrected addresses directly into your database.
A “webinar” is a class or seminar that takes place over the Internet using a web browser such as Internet Explorer or Firefox. The Active Network, the company that develops the Class System, schedules webinars regularly on a variety of topics pertinent to Class. While these webinars can certainly be attended “live,” the Active Network also makes recordings of these available for viewing from its Customer Portal web site. The only down side is that you can’t ask questions with the recording.
Typically, the webinars are about an hour long, and contain both an audio and video component. (The video component is almost always a set of Power Point slides.) Currently available webinars include:

The Tools Release upgrade was completed successfully on July 24th. The JDE end user experience was significantly enhanced with this upgrade. Included in the changes are the ability to “drag and drop” columns and resize column widths in the data grids. The copy/paste functionality between JDE and Excel (both into / and out of JDE) is back!!
Focus groups are being formed to review options for further improving access to JDE data, for both regular as well as occasional users. The Finance group held their first meeting on July 29th, with the second meeting scheduled for August 16th. The HR/Payroll group still needs a few more volunteers and then will begin meeting. Both groups will be reviewing some of the third party products available that have been developed to work with JDE, and then providing LOGIS with recommendations.
